You are a business savvy, hands-on utility player with a solid office administration and financial background. You have well defined organization, planning and follow through skills as well as solid financial experience including billing, A/R and monthly financial reporting. Responsibilities
1. Cash Flow Management –20% Manage Keen Accounts Payable to ensure all equipment, office supplies, technology in office is working effectively and vendors are paid on time. Manage office & employee budget and spending, including yet not limited to telephone, cell, supplies, travel, and reimbursable expense. Audit and process employee expenses. Check figures, postings, and documents for correct entry, mathematical accuracy, and proper codes. Manage Collections and A/P by making collection calls, sending statements, process & code invoices, cut checks and manage cash flow utilizing Big Time Software. Compile statistical, financial, accounting or auditing reports and tables pertaining to such matters as cash receipts, expenditures, accounts payable and receivable, and profits and losses. Reconcile or note and report discrepancies found in records.
2. Resource, Billing & Sales Administration – 20% Keep CEO aware and alert to all project activity through weekly dashboard reporting, effective use of Inspired Actions Workbooks, Consultant status reports, and accurate on time weekly billing. Prepare Process weekly complex customer billing, ensure accuracy, prepare customer invoices, document A/P entries in quick books, post to G/L. Update & Manage price sheets. Track new sales contracts and input new projects into billing.
3. HR & Payroll–20% - Process weekly payroll. Prepare and process New Hire paperwork and packets ensure 100% of new hire paperwork is received before any work, documentation, training or man-hours accrue, process and update insurance applications, bi-weekly payroll for contractors and employees, know, understand and comply with California labor laws and ensure KeenHire is free of litigation and risk. New hire's and employees have access equipment & policies through a utilized vigilant policy manual that is updated monthly. 100% of new hire files are stored physically in office and virtually through KeenHire's Management shared drive.
Experience
3-5 years AP/AR Bookkeeping experience servicing many clients.
Preferably for a consulting company in California.
Experience with complex billing of 2-5 million.
Skills
You are detail oriented, technically savvy, strong willed and ambitious.
You enjoy an opportunity to be completely empowered to make work processes more efficient and effective in service to internal and external customers.
You possess strong Microsoft Excel, Word, Quickbooks and Sharepoint skills.
Education
Associates Degree preferred.
Compensation
$25 - $30 per hour.
