Office Manager/Executive Assistant in San Diego

Seeking an Office Manager/Executive Assistant to help manage and support a rapidly growing, venture-backed technology company with its main offices in San Diego and an additional office in Seattle.

The Office Manager/Executive Assistant must be able to support employees at all levels, sometimes under pressure, while remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality.

Applicants must have strong decision making ability, capable of working independently, with the ability to prioritize and handle multiple tasks and have acute attention to detail. Self-starter who is willing to take initiative with dedication and commitment.

What You’ll Be Doing:

Office Management Duties (70%)

Overall responsibility for management of the Company’s offices in San Diego and Seattle, with the possibility of additional office openings in the future
Responsibility for the sourcing and purchasing of materials, supplies and services for the Company’s offices in San Diego and Seattle
Management of relationships with vendors for general office equipment, phone, services and supplies
Management of Lease Agreements, including tracking of renewals and notices to Landlord, and review of amendments, extensions, and new lease agreements
Coordination of office openings and closures; management of subleases and subtenants
Communication with employees regarding repairs, access and security issues, and office closures
Responsibility for maintaining security and access systems, tracking of access cards, keys and company equipment issued to employees, and maintaining an inventory of office equipment
Provide reception/front desk support; management of all incoming/outgoing mail including signing for, distributing and maintaining log of deliveries and visitors
Budgeting of office equipment, supplies and services
Capable of working independently, with the ability to prioritize and handle multiple tasks

Executive Assistant Duties (30%)

Provision of high-level administrative support, coordinating the activities of the senior executive staff
Possess integrity and the ability to handle sensitive and private information in a confidential manner
Coordination of travel arrangements and management of executive calendars
Preparation of executive expense reports
Compose communications for a broad audience of internal and external parties on behalf of Executive Management
Organization of visits from outside employees, contractors and business partners and offsite events
Provide assistance with the planning of office meetings and employee functions
Preparation of PowerPoint presentations

What We’re Looking For:

BA Degree preferred
Past Office Management experience strongly preferred
Experience at a growing technology company or other start-up companies a plus
Proficient at Office, including Excel, Word and PowerPoint

The Online Marketing Manager will work closely with the marketing, product, ad ops and sales teams to help position the OpenCandy brand as a highly effective tool for independent software developers to increase distribution and monetization. Responsibilities include search and content campaigns that utilize SEO and SEM techniques to boost brand awareness, positively impact online reputation, generate leads among software developers and Internet brands and contribute to the success of partner marketing efforts.

What You'll Be Doing:

Create and implement a innovative SEO strategy that establishes the OpenCandy brand as the leader in empowering software developers to monetize their offerings and gain distribution.
Write effective online copy that engages the user and builds the brand
Closely monitor and analyze results and recommend solutions to improve traffic and online reputation
Manage advertising, social media, word-of-mouth and email campaigns designed to acquire new customers and build OpenCandy brand

What We're Looking For:

Strong understanding of SEO strategy and tactics and proven success implementing campaigns that drive backlinks and raise search engine rankings.
Ability to write effective online copy that engages the user and builds the brand while optimizing SEO keywords at the same time.
Experience building online brands, preferably B2B software or services in the technology space.
Ability to effectively monitor and analyze results and adjust campaigns accordingly.
Ability to work effectively in a fast-paced, start-up environment where execution and effective communication are keys to success.
